🚀 Getting started
- Registration: after you register, a manager or an administrator has to approve your account. Until then you cannot log in. If you gave an e-mail address, you get an e-mail about the approval. The Department is required: pick it from the list, or if yours is missing, choose Other (type it)… and type it (a manager later adds it to the list or merges it into an existing one). Announcements for your department reach you by it (you can change it later on My account).
- Two-factor authentication (2FA) is required. At the first login you choose: 📱 authenticator app (Google Authenticator, Microsoft Authenticator, Authy…) – you scan a QR code and the app shows the 6-digit code; or ✉️ e-mail if you have no smartphone – you enter your e-mail address and at every login a code valid for 10 minutes is sent there (if it does not arrive, check the spam folder or ask for a new one). You can switch the method later on the My account page.
- Remember this device: when entering the code you choose how long that browser should not ask for a code again (24 hours, 7 days, 30 days), or that it should always ask. Choose this only on your own computer! In a private/incognito window the device is never remembered – there the code is asked every time.
- Temporary password: if an administrator created your account or reset your password, you must choose your own password at the next login.
- Language: English, Magyar, Română or Italiano – use the flag button at the top, or your name menu in the chat. Your choice is saved to your account.
- Start screen: while no chat is open, the chat greets you and shows on cards what is waiting for you: unread messages, your open tasks, reminders, scheduled messages – click a card to go there. Below it, quick buttons: new chat, new group, My files, Knowledge base, guide.
- Inviting colleagues: on the Invite colleagues page (in the menu under your name or on the start screen) send a personal invitation to one or more e-mail addresses – with your own message, in the chosen language, with a live preview. The invitee registers with the button in the e-mail (their address is already filled in), then a manager or an administrator approves them on the Waiting for approval page. My invitations shows who registered and who joined; you can send an invitation again or withdraw it. The link works for 14 days.
💬 Chats & contacts
- Chats lists only your own conversations, the newest on top. The number shows unread messages.
- Contacts lists every colleague with their status. Click a name to start a conversation.
- 🏢 Department and phone: under each name you see which department the colleague works in. At the top of a conversation, click their name to open their contact card: department, phone number (tap to call on a phone, copies it) and status. In a group it also opens from → Members. Add your own on the My account page – it is optional.
- Phone book: Phone book in the menu under your name (or in the top menu) lists colleagues by department with their phone number and status. Search by name, department or number, and write to someone straight away with 💬 Message. The Who is in today? buttons filter: 🟢 Available now (online right now), 🌴 Not in today (on holiday, off sick or working remotely – from their status, also shown as a yellow label). Download it as a 📄 PDF (with the company logo, for printing), to Excel, or as 📇 Contacts: open that file on your phone and your colleagues, with their profile photos, are added to your contacts, so you see who is calling. The downloads follow the search (e.g. one department only).
- Absence calendar: under Absences in the top menu (or from the Phone book) a month view shows who is out when: 🌴 holiday, 🤒 sick leave, 🏠 remote work – filterable by department (the Σ column counts the working days out). With Record an absence you add your own days (managers can add anyone's); everyone sees the note. If you leave it ticked, your status message is set automatically on the first day (e.g. “🌴 On holiday” until the last day, with an automatic reply) – unless you already have a status of your own then. A 🌴/🤒/🏠 status set in the chat also shows in the calendar (striped), and the Phone book's Not in today filter counts recorded absences too.
- ⏳ Leave requests: when you record a holiday for yourself (or another kind the admin set to need approval), it is not added right away but goes as a request to your department's manager – if your department has no manager, or you are the manager, to the admins. They get a chat message from you with a link; at the top of the Absences page, under Leave requests waiting for you, they approve it or reject it (with a reason). You get a chat message about the decision. While it waits, it shows as a striped field with a dashed frame in the calendar, and you can withdraw it under My upcoming absences. Sick leave and remote work are added without approval by default; days a manager records for someone else need no approval either. The admin sets which kinds need approval at the bottom of the Absences page.
- Your own tabs: above the Chats and Contacts lists you can create your own tabs (e.g. “Work”, “Project X”, “Suppliers”) with the Tab / button. Drag a chat or a person onto a tab, or right-click it (on a phone: press and hold, or Put on a tab… in the chat’s menu); an item can be on several tabs. Dragging it onto All takes it off the open tab. Each tab shows its unread count; search always looks at everything. Only you see your tabs; without any, everything stays as before.
- A tab as a group: when you open one of your own tabs on the Chats or the Contacts list (e.g. “Coffee”), the Group chat, and buttons appear under it. The first click makes a group with the same name and the people on the tab (on a Chats tab: the people in its chats), later clicks open the same group – so one message reaches everyone, or you call everyone at once. If you put someone new on the tab since then, the chat asks whether to add them to the group (people taken off the tab stay in the group). The tab itself stays private; the others only see the group.
- The search box filters both lists; in Chats it also finds people you have not written to yet. You can search by department too (e.g. “sales”).
- Search in messages: in Chats the search box also searches the text of your messages and the names of sent files, in all your conversations (case and accents do not matter; several words must all match). Click a result to jump to the message in the chat. The Messages / Files / Images buttons narrow the results – Files and Images list everything even without a search word.
- The button at the top of a conversation searches only in that conversation (e.g. “all images from Anna”). The next to its name searches everywhere again; Esc clears the search.
- # Topic tags: put a
#tagin a message (e.g.#printer,#vpn-issue) – it starts with a letter, has no spaces, max 40 characters. Click a tag to find every message with the same tag in all your chats. After typing#the tags already in use are suggested (↑/↓, Enter or Tab to pick). A#tagtyped in the search box finds exactly that tag; under a conversation’s button you also see the tags used in it. - ⌨️ Quick switch: Ctrl+K (on a Mac ⌘+K) opens a search box anywhere: type a few letters (accents not needed) to jump to any chat, colleague or page (My files, Knowledge base, My tasks…) – ↑ ↓ chooses, Enter opens. Empty, it shows your recent chats, unread ones first. On phones and tablets the button in the top bar opens it. The last row (Search in messages) looks for the typed word in the texts, file names and #tags of all your chats.
👥 Groups
- Click + Group next to the search box, give the group a name and tick the members. Pick a department from the Select a whole department… dropdown to tick everyone in it at once (marked with ✓ in the list), pick it again to untick them; the button shows how many people you selected. This also works when adding people to a group.
- In a group, Add people adds new members; the menu shows the members, renames or leaves the group.
- New members can also read the messages written before they joined.
- If you leave a group you no longer see its messages.
- Polls: in a group, start a poll with the button next to the message box: a question and 2–10 answers, optionally several answers can be chosen and anonymous. Tap an answer to vote, tap it again to take the vote back (you can change it while the poll is open). Results update live; in a non-anonymous poll the names appear under each answer, an anonymous one shows only the numbers. The creator (or an admin) ends it with Close poll – after that nobody can vote, the result stays. Polls can also be posted in Announcements, where everyone can vote. When creating it you also choose who sees the result: everyone right away, everyone after voting, or only you.
- Threads: in a group, a message’s button lets you reply in a thread: the replies are not shown in the main chat but in a side panel (full screen on phones), so the group stays quiet. “💬 N replies” under a message shows that it has a thread – click it to open. Only the people in the thread (the author of the message and everyone who replied) and those @mentioned get a notification; the group’s unread count does not change. Search finds thread replies too.
- System messages: other company systems can post automatic messages into a group (e.g. MySQL Backup when a backup fails). They come from a sender with a icon and a BOT tag, with notifications like any message. You cannot write to the bot directly and it is not in Contacts; if there are too many notifications, mute the group with . Such a connection (webhook) can only be created by an administrator, and only for a group they are a member of.
✍️ Messages
- Enter sends, Shift+Enter starts a new line. opens the emoji panel; links become clickable.
- Edit: hover over your message and click , or press ↑ in the empty input box to edit your last message.
- Delete: deletes the message for everyone. The text is removed from the server immediately; only the note “This message was deleted” stays.
- Seen under your last message means the other person has read it; in groups you see who has read it. “… is typing” shows when someone is writing.
- Reply: hover over a message (tap it on a phone) and click . Your reply shows a quote of the original message; click the quote to jump to it. Esc cancels the reply.
- Reactions: use to react with 👍 ❤️ 😂 😮 😢 🙏 ✅ 👀 – no need to send a separate “ok”. Click your reaction again to remove it; hover over a reaction to see who reacted.
- @mentions: type @ and pick a member of the chat (↑ ↓ Enter). In groups
@allcalls everyone. The people you mention see the message highlighted and get notified even if they muted the chat. - Pin: pin an important message (e.g. a deadline, a to-do list) to the top of the chat with the button – everyone sees it in the bar under the header. Click the bar to jump to the message; the "… pinned ▾" button lists all pins, unpins one. At most 20 pins per chat; in Announcements only managers/admins can pin.
- Reminders: with a message’s button you choose when the chat should remind you of it (20 minutes, 1 hour, 3 hours, tomorrow 9:00, Monday 9:00 or any time), with an optional note. Then a card pops up in the bottom right corner (Open – jumps to the message, 1 hour later, Done) and a push notification arrives – if you were away, you see it at your next login. Only you see your reminders; they are listed in the menu under your name (My reminders), and next to a message’s time marks the ones you set.
- Saved messages: save important messages (e.g. setup steps, an address, a phone number) with a message’s button. Find them under Saved messages in the menu under your name, where you can also filter them; click one to jump to the message. A saved message shows next to its time. Only you see the list; if you leave a group, its saved messages disappear from it too.
- Tasks: a message’s button turns it into a task (the text is filled in) with a responsible person and a due date; the button in the chat header (on phones in the menu) adds a task without a message. Each chat’s tasks are in the panel (Open / Done); tick one to complete it, overdue ones are red. A system message in the chat shows who got a task and who completed it, the responsible person gets a push notification, and a reminder at 8:00 on the due date. My tasks in the menu under your name lists your open tasks from all chats. The Board button on the task panel shows the chat's tasks on a kanban board: To do / In progress / Done. Drag the cards to another column with the mouse, or move them with the ‹ › arrows on a phone; Only mine shows the ones given to you, and clicking a card's title edits it.
- Scheduled messages: the button next to the message box (on phones in the menu) sends what you typed later: in 1 hour, today at 17:00, tomorrow or Monday at 8:00, or any time you pick. It goes out in your name at that time, as if you had written it then. A bar above the message box shows what is scheduled in the chat; there (and under Scheduled messages in the menu under your name) you can edit, send now or delete it.
- Urgent messages: when a manager or admin marks a message urgent, it has a red frame and an Urgent label, the chat plays an alarm sound and shows a window until you open it. Until you read it, it alerts you again every 2 minutes (for about 10 minutes at most) – also in Do not disturb, in quiet hours and in muted chats.
- Events: with the button next to the message box (on phones in the menu) you can announce a meeting or programme: title, day, start and end, place (a link works too), note and reminder. A card appears in the chat where everyone can answer Going / Maybe / Not going (click again to take it back), and you see who answered what. 📅 Add to calendar downloads a calendar file (.ics) that your phone or Outlook adds to the calendar. Whoever answered Going or Maybe gets a reminder before the start (15 minutes by default). The organiser (or an admin) can call it off with Cancel event – the card stays, struck through, and those who were coming get a notification. 🗓 Online meeting: in a group you can also choose a group audio or video call for the event. At the start it rings for those who answered Going or Maybe, and the card has a Join button (it opens 15 minutes before the start) – the rest of the group is not disturbed.
- 🔗 Link previews: when a message contains a public web address, within a few seconds a card appears under it with the page’s title, description and image; clicking it opens the page in a new tab. For security, there is no preview for internal network addresses (e.g. 192.168.x.x) or the chat’s own pages.
- ✍️ Formatting:
**bold**,_italic_,~~strikethrough~~,`code`, a multi-line code block between three```marks (copy it with ),> quoteand- listat the start of a line. Shortcuts for the selected text: Ctrl+B bold, Ctrl+I italic, Ctrl+E code. - Translation: if an admin turned it on, the button of a message written in another language (on phones under ) translates it into your chat language; “Translated from … · Show original” appears under it, and Show original switches back. The button in the chat header (on phones in the menu: Always translate this chat) shows every message of the chat written in another language translated – only for you, the others still see the original. Links, @mentions, #tags, code and emoji stay as they are. It is a machine translation: for anything important, check the original too.
- Who has seen it? In a group, for your own messages (with / , or by clicking the “Seen” line) you can see who has read it and who has not yet. In Announcements managers and admins can see it for every post.
- On phones only and are shown next to messages; the other actions (forward, pin, thread, task, reminder, save…) are under .
- Forward: the button sends a message on to one or more (max. 10) other chats or people. Forwarded messages show "Forwarded from original sender". Files are not copied: the recipients get the same file, and it is deleted together with the original (if the uploader removes it, it disappears from the forwarded copies too).
- Send to my e-mail: with Send to my e-mail in the ⋯ menu of a message you can e-mail a text message or a file to yourself (the file goes as an attachment; the letter shows the sender, the chat and the time). It can only go to your own company address ending in @example.com (e.g. [email protected]), set on the My account page – not to any other address or domain. Before the first sending you get a 6-digit code at this address to prove it is yours (not needed if you use two-factor authentication by e-mail). If you change your address later, it has to be confirmed again. Files can be at most 50 MB.
- Message templates: save texts you send often (a confirmation, a signature): type it into the message box, tap the button next to it, then Save the text as a template. Later the same button and one tap put the template into the message box – you can still change it before sending. Edit or delete them under Manage. Managers and admins can also add 🏢 company templates that everyone sees.
- 📬 Weekly summary e-mail: turn it on on the My account page: every Monday morning you get an e-mail with the past week's announcements, your open tasks (overdue ones in red) and who of your department is out this week. It only goes to your own verified company address (the same rule as Send to my e-mail); weeks with nothing in them are skipped. Send me a sample now shows you what it looks like.
- New messages: when a chat has unread messages, a red "New messages" line shows where they start, and the chat opens there – no need to look for where you left off.
- Drafts: if you switch to another chat with a half-written message, the text (and a started reply) is kept; the list shows it in red as "Draft:". Drafts are only stored in this browser and are deleted when you log out.
📎 Files & images
- Send files with , by dragging them into the conversation, or paste a screenshot with Ctrl+V. Maximum 100 MB per file. On a phone, Photo or video in the menu opens a camera view inside the chat: switch between Photo and Video at the bottom (the last one is remembered), zoom with two fingers or the slider, and between the front and back camera with at the top. After the shot you see a preview, then Send or Retake. A video recording stops by itself at the size limit. If the browser does not allow the camera, you can use the phone's own camera app instead.
- Images are shown as a preview; click to enlarge or download.
- Spreadsheets and Word documents: under Excel (.xlsx, .xls), CSV and Word (.docx) files the Preview button shows their content without downloading. For spreadsheets the first 300 rows and 40 columns of each sheet are shown, values only (formatting, charts and formulas are in the downloaded file). For Word documents the text is shown with headings, lists and tables, without fonts, page layout and images. Old .doc files open only by downloading them.
- Voice messages: the button next to the message box records a voice message of up to 5 minutes (the first time the browser asks for microphone access). While recording, or Enter sends it, or Esc discards it. The recipient plays it with , can click the bar to jump and pick 1×, 1.5× or 2× speed. A voice message is stored as a file, so the same deletion rules apply (the sender sees “Listened”).
- Files are not stored permanently. A file is removed from the server 24 hours after every recipient downloaded (or opened) it, and at the latest 30 days after it was sent. The message stays and shows “File removed”. Save the files you need to keep – for example with into My files.
- Your own files: under a file or image you sent you can see whether it has been downloaded (“Downloaded ✓”; in a group “Downloaded: 2/4” – point at it to see who). With Remove from server you can delete the file yourself at any time, e.g. once it has arrived; the message stays and shows “The sender removed this file from the server”. deletes the whole message together with the file.
📁 My files
- My files (in the menu under your name, or at the top of the pages) is your personal storage – 5 GB. Files there do not expire: they stay until you delete them. A bar at the top shows how much space you use.
- Upload with or by dragging files onto the list; New folder, also inside other folders. On each row: download, share, rename, delete. Select several items to move or delete them together (a folder is deleted with everything in it).
- Preview: images, PDFs, Excel and CSV spreadsheets, Word documents (.docx), text files (txt, md…), audio and video open without downloading when you click their name; ← → (on phones: swipe) moves between the files of the folder, Esc closes it. Other file types (e.g. PowerPoint, old .doc) are downloaded.
- Trash: deleted files and folders go to the Trash tab, where you can restore them to their place for 30 days (right after deleting also with Undo). After that they are deleted for good; until then they count towards your storage. Empty trash frees the space at once.
- Save from a chat: on a file message saves it to My files, so you keep it after the chat copy is removed by the retention rules. (Saving counts as a download.)
- Send to a chat: the button next to the message box (on phones in the menu) sends files from My files or from files shared with you, without uploading them again. The copy in the chat follows the usual chat retention rules; the original in My files stays.
- Sharing: share a file or a folder with colleagues or with the members of a group. They see it under Shared with me and can only view and download it – they cannot change or delete it. A shared folder also shows files you add later. You can stop sharing at any time in the same place.
📞 Calls
- In a one-to-one conversation use for an audio call or for a video call. The other person must be online.
- Group calls: in a group chat the same / buttons start a call for the whole group (up to 6 people). Members who are online get a ringing invitation (Join, Join with video, Decline); anyone in the group can join later with the green Join bar above the messages while the call is running – a mark also shows it in the chat list. The call goes on until the last person leaves. Whoever is speaking gets a green frame; click a tile to show that person large, a shared screen is shown large automatically. With the / button at the top you choose: in Speaker view whoever is talking is shown large and the others small at the side (at the bottom on phones); in Grid view everyone is the same size. Your browser remembers the choice.
- An incoming call rings for 45 seconds: Accept, Accept with video or Decline (Enter / Esc).
- During a call: mute, camera on/off, screen sharing (on computers), hang up. You can minimise the call window and keep chatting, or switch to full screen.
- Call devices: in the menu under your name, or with during a call, you can choose the microphone, the camera and (where the browser can) the speaker, e.g. a headset instead of the laptop speaker. The bar shows whether the microphone hears you, Test plays a sound on the chosen speaker. The browser remembers your choice; changed during a call it applies at once, without breaking the call.
- 🔁 Reconnecting: if the connection drops for a moment (e.g. the phone switches from Wi-Fi to mobile data), the call (one-to-one or group) comes back by itself – meanwhile “Reconnecting…” is shown, in a group also on that person’s tile. If it does not succeed within half a minute, the call ends (in a group: only for them).
- Call back: next to a “Missed call” entry a button calls the person back (in a group: the whole group). If the app was not open, the phone also notifies you about the missed call.
- Picture in picture: in a video call in the top bar puts the other person’s picture into a small floating window, so you can use other programs or tabs meanwhile (Chrome and Edge; Chrome also offers it by itself when you switch tabs). During a call the phone screen does not go to sleep.
- 📶 Connection quality: during a call three bars in the top bar show the connection (green: good, yellow: fair, red: poor – point at them to see the packet loss and the delay). If the connection stays poor while your camera is on, the chat offers to turn it off – this helps a lot and keeps the sound clear.
- Raise hand and reactions (group calls): with you can ask to speak – your tile gets a yellow frame and a number (✋ 1, ✋ 2… in the order of raising), the others hear a soft signal. There you can also send a quick reaction (👍 👏 😂 ❤️ 🎉 😮) that floats over your tile for a few seconds.
- Add people: during a one-to-one call calls others in. The call continues as a group call in a group chat of you all (an existing group with exactly you is reused, otherwise a new one is created) – the two of you move over automatically, and only the people you added are rung.
- Screen sharing: in a one-to-one chat the button in the header starts a call by sharing your screen right away (the other person sees “Wants to share their screen with you”). During a call the button asks for the other person’s screen – they get a Share my screen button. Zoom into a shared screen with the mouse wheel or two fingers, drag to move around, double click to reset; in the bar at the top sends a screenshot of it to the chat. You can only see the other computer, not control it (mouse, keyboard). Sharing works from computers only.
- The first time, the browser asks for permission to use the microphone and camera. If you blocked it, allow it with the padlock icon next to the address bar (on Android also in the phone's app settings for the browser).
- Without a microphone you can still join a call and listen – the other person sees a notice that you cannot be heard.
- Calls currently work on the internal (office) network. They are never recorded; only an entry such as “Audio call · 3:25” or “Missed call” is added to the conversation.
📢 Announcements
- Announcements is a shared channel – open it with the button at the top, next to the knowledge base button (the counter shows unread announcements). Everyone is a member automatically, and you cannot leave it.
- Only managers (e.g. HR, team leads) and administrators can post in it; everyone else can read it. New announcements arrive like any message: unread counter, notification, sound.
- Managers and administrators see under each announcement how many people have read it (“Seen by 12/30”); point at it to see who has not read it yet.
- Announcements can contain text, files and images, just like a normal message. Announcements and their files are kept permanently – they are not removed by the automatic cleanup.
- 🎂 Birthdays and work anniversaries: if you enter your birthday (month and day only) and/or your first working day on the My account page and tick the greeting, a festive card appears in Announcements at 8:00 that day (e.g. “Happy birthday, Anna!”, “Béla joined us 5 years ago today!”) and anyone can react to it. Your age is never shown; without the tick nobody is told.
📚 Knowledge base
- Open it with the button next to your name (or from your menu). It opens in a new tab, so the chat keeps running.
- Articles are sorted into categories; the search box searches titles and text.
- Everyone can read the knowledge base. Managers and administrators can write, edit and delete articles and manage the categories.
🟢 Status & notifications
- Click your name or the button next to it at the top left to open your menu (settings, notifications, language, theme, your account, etc.). There you can set your status: Available, Away, Do not disturb, Invisible (you appear offline).
- After 5 minutes without activity your status changes to Away automatically.
- Do not disturb: no sounds for messages and calls.
- 🌴 Away with automatic reply: in the status message window (e.g. with the 🌴 On holiday button and an end date) tick Automatic reply while this status lasts and optionally name a stand-in (“For urgent matters ask”). Whoever writes to you in a one-to-one chat then gets an automatic reply (once a day) with your status, its end date and a button to the stand-in; in a group, people who @mention you see a pop-up note. The automatic reply does not mark the message as read, and it switches off by itself when the status ends or is cleared.
- Quiet hours: under Notifications in the menu under your name you can set when the chat should not disturb you (e.g. 18:00–07:00, and all day at the weekend if you like). In that period your phone gets no push notifications and the open chat makes no sound; messages still arrive. You can choose whether calls still ring; your own reminders always do.
- Allow notifications (banner at the top of the list, or Notifications in the menu under your name) to be notified when the chat is in the background – or even closed. The browser tab also shows the number of unread messages.
- Favorites: with Add to favorites in the menu of the chat header the chat (e.g. an important colleague or group) moves to the top of the list under ⭐ Favorites and stays there. Remove it the same way. Only you see it.
- Mute a chat: the button in the chat header mutes it for 1 hour, 8 hours, 24 hours, 1 week or until you turn it back on. There is no sound or pop-up, the unread count is grey and not added to the totals. @mentions of you and replies to your messages still notify you (a yellow @ in the list). Only you see that a chat is muted.
- 💬 Status message: click your name → Set a status message. Write your own text or pick a preset (In a meeting, Lunch break, Commuting, Working remotely, Out sick, On holiday), and choose when it clears itself (1 hour, 4 hours, today, end of the week or the end of a chosen day). Everyone sees it next to your name in Contacts and in the chat header; people writing to you also see it above the message box (e.g. "🌴 On holiday · until Oct 10").
📱 Phone app and push notifications
- Install it like an app: in the menu under your name choose Install the app (Chrome, Edge, Android). On iPhone / iPad (iOS 16.4 or newer) open the chat in Safari, tap Share → Add to Home Screen, then always open it from the new icon.
- Notifications: menu → Notifications on this device. You have to switch it on separately on every phone and computer; Send a test notification checks that it works.
- Where the chat is open you are notified by the page itself; devices where it is closed get a push. The push only says who wrote (e.g. “Anna sent you a message”) – never the text of the message, so nothing confidential shows up on a locked screen.
- Muted chats only notify you about @mentions, and in Do not disturb you get no message notifications. Calls do come through (silently in Do not disturb): tap the notification and the chat opens with the call still ringing – so you can be called even when the chat is closed on your phone.
- Message sound: menu → Message sound. Choose Chime, Pop, Bell or Marimba ( to listen), or switch it off. This sound plays while the chat is open; it is set separately in each browser. In the same window two sliders set the volume of the message sound and of the call sounds (ringing) from 0 to 200% (100% is the original); this is also saved per browser. Own sound: here you can also upload your own message sounds (max 1 MB, the first 5 seconds play) and ringtones for incoming calls (max 3 MB, they repeat until you answer) – up to 5 of each, MP3, M4A, OGG or WAV; rename them with . Under Company sounds you can also choose the sounds uploaded by the admins. The file is stored with your account, so you can pick it on all your devices; push notifications always use the device’s sound.
- The sound of push notifications (chat closed) is a phone setting, the page cannot change it. On Android:
- App installed with Chrome: Settings → Apps → Talkset → Notifications → Sound. This affects only the chat – the recommended way on Android.
- In the Chrome browser: Settings → Apps → Chrome → Notifications → among the sites the app1.talkset.app entry → Sound.
- Firefox: Settings → Apps → Firefox → Notifications → the website notifications category → Sound. This applies to all websites.
- New version: when the chat is updated, a A new version of the chat is available bar appears at the top of the open page – Refresh reloads it (a half-written message is kept). The installed app does the same, no need to close it.

🔒 Storage & privacy
| Messages | Stored for 12 months, then deleted automatically. Announcements are kept permanently. |
|---|---|
| Deleted messages | The text is removed from the server immediately. |
| Edited messages | Only the new text is kept. |
| Files | Removed 24 hours after every recipient downloaded them, at the latest after 30 days. |
| My files | Kept until you delete them (space: 5 GB). Admins only see how much space is used, not the file names. |
| Knowledge base | Articles and their images/files stay until a manager or admin deletes them. |
| Calls | Never recorded. Only the call entry (type and length) is kept, like a message. |
| Groups & conversations | Remain; only their old messages are removed. |
Who can see what?
- A conversation – messages, files, calls – is visible only to its members. Nobody else, not even an administrator, can open it in the chat.
- Everyone can see the list of colleagues, their status, when they were last online, and the department, phone number and e-mail address they entered (phone book).
- Administrators see the user list and an activity log (logins, account changes, number and size of uploads – no file names) – never the content of messages.
- Statistics and export: administrators see statistics (the number of messages, files, calls and polls per day, per user and per group – no text; private chats only as a total). A conversation can be exported (Excel / printable page) only by an admin who is a member of it; every export is recorded in the activity log.
- Messages are stored on the company server. People who manage the server and its backups could technically access the database; server backups may keep older data for a limited time.
- Link previews: when you send a public link, the chat server fetches the page’s title and image for the preview (your colleagues’ browsers do not connect to the other site). The server never fetches internal network addresses.
- Translation: translation runs on the company’s own server; messages are not sent to any outside translation service. Finished translations are saved on the server (so they need not be translated again) and are deleted together with the message.
🛡 Account & security
- My account: change your name, e-mail, phone number and department (from the list, or typed under Other (type it)…; the phone number is optional, everyone sees these), your password (other sessions are logged out), choose your language.
- Profile photo: on the My account page (or with Profile photo in the menu under your name) you can upload a photo, on a phone even with the camera. Before uploading you can drag and zoom to choose the part shown in the circle; it is made smaller, and location and camera data are removed; it is then shown everywhere instead of your initials. Tap someone’s photo (in the Phone book or the chat) to see it big. You can remove it any time; an administrator can also remove an unsuitable picture.
- 🎨 My colour: on the My account page you can pick your favourite colour for buttons, links and your own message bubbles (from the suggestions or any colour code). Only you see it; others see their own or the company colour. Too light colours are darkened a little so text stays readable; Company colour takes you back any time.
- Logged-in devices: at the bottom of My account you see where you are logged in (browser, device, last activity, IP address). Log out an unknown or forgotten device (e.g. a shared computer, a lost phone) with one click – the chat closes there at once, it gets no more notifications and its remembered 2FA is forgotten. Log out every other device keeps only the current one. Changing your password logs out the other devices automatically.
- Light / dark theme: choose Light, Dark or Auto under Theme in the menu under your name (on the other pages: the button at the top). Auto follows your device's setting. The choice is saved in this browser, so your phone and your computer can use different themes.
- Compact layout: in the menu under your name, Layout → Compact shows chats and messages with smaller text and less spacing, so more fits on the screen (e.g. on a computer). This is also saved per browser, your phone can stay Normal.
- Forgot your password? Click “Forgot your password?” on the login page and enter your username or e-mail address: if your account has an e-mail address, we send a link (valid for 60 minutes, usable once) to choose a new password. The 2FA code is still asked afterwards. Without an e-mail address an administrator can give you a new password – so it is worth adding one on the My account page.
- New phone? “Move to a new phone” shows a new QR code. If you lost your phone, ask an administrator to reset your 2FA.
- On a shared computer always log out, and use “Forget remembered devices” if you ticked “Remember this device”.
